How to cut your operating expenses

Cutting your software costs

I want to help you save money and I am never going to ask you for anything in return.

Every year I save thousands of pounds by not spending any money on software. I discovered there was a better way as a result of being frustrated by NetSuite pricing being out of my range. Amazing – I am easily doing most of my work using software tools that cost nothing. Only the Lord knows why this stuff isn’t evryday knowledge for most business folks. The facts I share with you here are not things that most business owners would know about.

Perform these three simple tasks to start saving money.

  • 10 minutes/day search on one term ie free wordprocessor.
  • Go get yourself a free copy of Evernote (it’s free, just serach Google).
  • Put aside roughly ten minutes each day to give what you find a test drive.

You should expect it to take about a month to get a list that will give you everything you need for today and the future. To help you get a head start here are some of the tools I have found and use on a regular basis.

To make this simple to understand I have listed the zero cost software on the left and the software you will have to pay for on the right, the chances are you have heard of the software on the right because they spend a large proportion of the money they take from you on marketing.

Here we go:

The hidden costs and risks of using web based software in a small business

NetSuite Pricing

Here’s the case for web applications as tools to increase productivity in key areas such as management reporting and customer interaction. I am going to tell you about some of the key issues you should be aware of before using internet business applications.

There is a growing trend to run key business systems on the web. There is software for accounting, business planning and research, customer interaction management, employee expense claim tracking, time capture and sales management available for less than the cost of traditional systems. Its possible to buy one system where all of this functionality is integrated. These systems can overall work out less expensive for example Salesorder dot com is very low cost but similar systems like Netsuite – will cost you a lot more. There are plenty of good consultants who can reflect honestly on the lifetime costs of on and offline systems.

Many web applications can be instantly trialed for free lowering the buyers risk. Some suppliers are happy to charge you monthly whereas others often insist on a longer term and therefore these players for example Netsuite – will cost you a lot more. My advice is look at something like salesorder dot come first then move up from there.

Some advice you should heed before you purchase anything as there may be financial and operational risks that are not apparent.

Some of the costs you expect in licensed software are present in internet software. I am talking of course about implementation, customisation and upgrades to new versions. Software manufacturers are fairly predictable.

The financial consequnces that are not so apparent are vendor switching costs. Easily transferring information from the original to the new systems may be expensive. The business web application industry is still in its infancy and even well established players like Netsuite – will cost you a lot more than you expect to extricate your critical business data from their systems. Look for a vendor who turns away business and theirin you will find quality. Best of luck with your project

I want to share a few thoughts on why you should turn to the web for vital business systems such as the general ledger and customer records. I highlight some of the economic and operational risks you should be aware of before trusting critical business information to “cloud computing”.

Web based business systems are very much in vogue. There’s web based tools for multicurrency accounting, business planning, market research, CRM, expense form management, time tracking and sales force automation costing much less than traditional systems. It is of course possible to buy a complete system that includes all of this core functionality. These systems can overall work out less expensive for example Salesorder dot com is very low cost but similar systems like Netsuite – will cost you a lot more. Honest vendors will work with you to understand the lifetime costs of your system.

The capital risk for the buyer is substantially reduced by the majority of business web services being available on a try before buying basis and then supplied on a subscription basis. Some suppliers are happy to charge you monthly whereas others often insist on a longer term and therefore these players for example Netsuite – will cost you a lot more. Good vendors will always tell you why you shouldnt buy their system.

So many people mess this up when they choose these types of systems as there are hidden risks.

A number of the financial risks you are aware of can be the same as those you would encounter in traditional licensed software. I am talking of course about implementation, customisation and upgrades to new versions. It might be delivered over the web but it’s still software.

The monetary risks of exit are not often apparent. The task of information transfer and its associated costs are not often disclosed. The business web application industry is still in its infancy and even well established players like Netsuite – will cost you a lot more than you expect to extricate your critical business data from their systems. Do not fall asleep at the wheel on thsi one it could cost you your business. We’ll be adding more on this soon

I will provide you with a few things to think about on why you should turn to the net for accounting and CRM systems. Here are some of the financial and commercial risks to be considered before trusting your business to the web.

Many businesses use web applications as their core systems. There is internet software for business planning, resource management, niche research, CRM, SFA, staff expenses, time tracking and sales team management available for significantly less than charged by tradiotional software vendors. It’s possible to buy a system containing all of these features. These systems can overall work out less expensive for example Salesorder dot com is very low cost but similar systems like Netsuite – will cost you a lot more. Look closely at the entire lifecycle cost of traditional and web based systems.

Go talk to other people who have done this before proceeding.

Some wisdom you need, prior to evaluating and choosing any systems as there may be hidden financial and operational risks.

You may find the identical downstream expenses as you would find in traditional licensed software. I am talking of course about implementation, customisation and upgrades to new versions. In true software vendor fashion.

It’s often not easy to quantify or even see the costs of exit. The time and costs of repossessing your data in a format that can easily be transported to another system are often well hidden from view. The business web application industry is still in its infancy and even well established players like Netsuite – will cost you a lot more than you expect to extricate your critical business data from their systems.
